If you're considering reevaluating your customer service strategy your main focus is figuring out where you can improve. A business' customer service strategy is not just about what information you're giving customers.
If you want to change your customer service philosophy, here are four inexpensive tools you can implement right away to make a change. I can give the seal of approval on all of these because we use them right here at AccuConference.
One of the most important parts of customer service is that your employees are familiar with your product and your company. When a customer calls in with a question or a concern, your goal is to make sure this is the only call that has to be made. Getting it right the first time makes a big impact on your customers and step one is educating your employees.
One of the best things you can do is trust your employees and this starts at the very beginning of a hiring process. We have a very specific hiring process that helps us to determine candidates that have the same philosophies and feelings about customer service that we have as a company, and because of this my managers trust me to handle some things on my own and to take a concern to a higher level when I need to.
This is AccuConference and we are not the droids you’re looking for. (Hah!) We don't use scripting. Sure, we have standard responses to things, but they aren't the product of a script, they are the product of our experience. This is a big difference. No Bait, Just Fish
An advertisement, whether it is a commercial, a print ad, or even a tweet sets a tone and an expectation with your customers. If you can't deliver on a promise made in an advertisement, then you're suddenly in a position where your first interaction with a potential customer may be viewed as a deception. This isn't a good way to start a relationship and can take a lot of extra work to repair. How do you approach customer service?
Towards the end of 2013, I had a customer call in and ask me one simple question: "Is there anything we’re not taking advantage of?" There are a number of features we include, but customers might not know about. We went over a couple of things that I noticed he wasn’t using and suggested using things like web conferencing and conference call recording for his calls in 2014.
Here are three of my favorite features to suggest to customers.
Brand Your Conference Calls
Add a custom greeting to your conference line so you can brand your events to your company. You can also use it to share news and events. It’s easy to do and we can update the message as often as you like. A lot of our customers like this option because the participant knows who is hosting the conference and is reassured that they have dialed into the right call.
Custom Hold Music / Greetings
A customer in financial planning uses custom hold music to play a recorded message about the different services his company offers. This is a great use of a free option to turn the waiting room before the conference begins into a virtual billboard. You can also upload some of your own music and participants can jam out while they wait for the call to begin.
One of our customers sets up luncheon events and uses registration pages as part of their invitation. These pages can be fully customized to add your logo, images, links to your site, speaker information, and more. Using a registration page lets you track attendance and know if you’re marketing your conferences to the right audiences by giving you a metric to measure your response rate.

Teleconferences have changed since they were first introduced. They have come far beyond on the "audio meeting" to become a potentially integral part of your business and sales strategy. We put our heads together and thought of some other ways that conference call services could be used to interview employees, make new sales connections, and a lot of other really awesome things.
- Operator Assistance - An operator will take over all of the technical aspects of the call. They will also prepare a unique introduction to your conference call. Not only is this a great way to create some formality on the call, it's also a great way to relieve some of the stress from the moderator.
- Host a Sales Presentation via Web Conference - Instead of driving across town or hopping on a plane to pitch your next client, try using a simple web conference. Put together a PowerPoint presentation and stay in your office. You can still field questions and show growth potential, you're just doing it from the comfort of your favorite chair.
- Don't Travel for One Month - In the same vein as the previous tip, plan on keeping the wheels down for an entire month. Limiting travel will not only save you money but grant a different perspective on how you can manage your business. A lot of companies don't realize how easy it is to use conferencing and limit the travel.
- Host a Job Interview via Conference Call - Typically, the beginning of the year is when companies start bringing in new employees. Instead of the typical face to face interview, have the initial interview over the phone. You'll hear how the potential employee handles themselves when all they have are their words and tone of voice to back them up.
- Interview a Leader From Your Industry - Use a conference service to record the interview and then turn it into a podcast and host it on your blog. Simple as that.
- Telecommuter Friday - This may sound crazy but it could be a good experience for you and your employees. If your businesses allows (some won't, like retail) pick one Friday as a test and let your employees telecommute. Many companies successfully operate in a virtual office environment and end up saving money without the need for office space, phone lines, etc.
- Invite Your Customers to a Q&A Session - Try a monthly or quarterly call with your customers to see what they think of any changes or updates you've made to your products. This is an exceptionally great idea for start ups that usually make a lot of changes right away and rely on feedback from the public to know what is working and what isn't.
- Add a PowerPoint to a Status Meeting - Punch up your next boring old status meeting by adding in a PowerPoint. Suddenly, an audible list of sales numbers, increases, and projections become colorful and memorable graphs and charts. Using visuals reaches out and grabs the audience’s attention to keep the focus on the meeting and nothing else.
- Use a Registration Page - Trying to see who is attending a status meeting? Want to know what potential client attended one of your web conferences? Set up registration pages and collect information like name, email, or phone number. It gives you the ability to see who joined the conference, who didn't, and once you download the registration list, it's a marketing contact sheet that immediately lets you see who is interested in learning more about your products.
- Invite the Press to Your Company Announcement - We recommend that you use this tip in conjunction with the operator assistance suggestion. Inviting the press to an announcement is a good way to generate buzz, get a little excitement about a project, or gain a little extra news coverage.
