Dynamic Call Monitoring

Dynamic Call Monitoring is a web-based conference management tool which allows moderators to see who is talking and how many participants are on their audio calls. At your fingertips you have the tools to facilitate a live question & answer session, mute & un-mute individual lines, view all participants on the call and enable or disable recording & lecture mode - all with the click of your mouse.

How does it work?

  1. Log into your customer site at www.accuconference.com/customer .
  2. During your next live conference call, click the menu "Live Calls", and then click "View" (far right side). You will be directed to the Dynamic Call Monitoring page.
  3. On this page you can:
    • View all participants who have called into your conference
    • See who’s talking (if the call is not in lecture mode)
    • Initiate the recording / stop recording
    • Place the call in & out of lecture mode
    • Facilitate a live Q & A
    • Mute & un-mute individual lines
    • Disconnect the entire call or hang up individual lines.

LECTURE MODE

When holding a conference call with more than 10 people, we recommend using the Lecture Mode function. When Lecture Mode is activated, all participant lines are muted; only the speaker and moderator lines are open. This eliminates all background noise coming from your participants.

How does it work?

  1. The Moderator can press *5 on their telephone keypad. This will put the call into Lecture Mode. Pressing *5 again will take the call out of Lecture Mode.
  2. The Lecture Mode icon can be pressed from the Dynamic Call Monitoring page. You will then notice that all the participant lines are muted.

After either option, the moderator will hear an automated voice that says 'Lecture Mode On'. The dynamic call monitoring page will also show that Lecture Mode has been activated.

PRE-CONFERENCE

A very valuable feature provided with your account is 'Pre-Conference'. This feature allows all moderators and speakers the ability to collaborate together before the conference begins. Participants that dial into the conference are placed on hold, hearing only music, until the moderator begins the call.

How does it work?

  1. From your customer site, click on "Conference Manager / View Conference List". This will take you to the Conference Manager page.
  2. Click on the name of the conference you wish to set for pre-conference (in blue). You will be directed to the View Conference page.
  3. Click “Edit” on the far right side of the page (in blue). Here you can edit the specifics of your conference.
  4. Scroll down to 'Conference Entry Options' and select 'Pre-Conference'.
  5. Click "Update Conference", which is at the very bottom of the page.
  6. When you then dial in to your conference you will hear 'Your conference is currently in Pre-conference. To start your conference press *3.' You only want to press *3 when you are ready to go live. If you have other people using the moderator code, advise them to not press *3!
  7. When you use Pre-Conference, your call is automatically place in Lecture Mode when you begin your call. To take your call out of Lecture Mode, simply press the Lecture Mode icon from you Dynamic Call Monitoring page, or press *5 on your telephone key pad.

LIVE QUESTION & ANSWER Facilitation

When in lecture mode, you may want to hold a Question and Answer Session. The Dynamic Call Monitoring page gives you the ability to conduct and Q&A session in a very controlled and professional manner. By pressing a single button, a moderator can un-mute one participant at a time, allowing the participant to ask their question. This eliminates people talking on top of each other and provide the moderator one-on-one time with the participant.

How does it work?

  1. Make sure your call is in Lecture Mode. This can be done by either clicking the “Lecture Mode” icon on the Dynamic Call Page, or pressing *5 on your telephone key pad.
  2. Instruct your participants to press *1 on their telephone key pad if they have a question.
  3. You will notice that your participants caller ID line moves to the top of the page under the heading “Questions List”. Above that heading is a box called “Conference Controls” which shows you how many questions you have remaining, and also will say “Take First Question” in blue type.
  4. Click “Take First Question”. This will open the first line with a question.
  5. As a moderator, you will hear 'Participant line un-muted' when you click to open the phone line. At that point, the participant can ask their question.
  6. When you want to move to the next question, click 'Take next question' and continue until all questions are asked.

NOTE: When the participant line is un-muted they will hear 'You may now ask your question.'
